Southern Global Software Private Limited ("Southern Global Software", "we", "us"), CIN U62013TN2026PTC192809, runs this website and is responsible for the personal information collected through it. Our registered office is at No 85/86 Lotus Tower, 6th Floor, Mount Road, Guindy Industrial Estate, Chennai 600032, Tamil Nadu, India.

This policy covers our website, our contact and enquiry forms, and job applications sent to us. When we build software for a client, the client's own privacy policy governs the data inside that software, and we process it only on their written instructions.

Information we collect

We collect only what we need to reply to you and to run the website:

Enquiry details you give us: your name, email, phone or WhatsApp number, the services you need and your message, plus anything optional you add, such as your company or website, country, budget, preferred way to be contacted and the best time to reach you.
Newsletter sign-ups: your email address, if you choose to subscribe.
Job applications: your name, contact details, city, CV and any links or notes you send with it.
Messages and call notes when you contact us by email, phone or WhatsApp.
Technical data our hosting provider records automatically, such as IP address, browser type, pages requested and the time of the request. We use this for security and to keep the site running.

We do not ask for sensitive personal information, and we ask that you do not include it in enquiries.

How we use it

To reply to your enquiry, schedule your free consultation and send you a quote you asked for.
To send our newsletter, if you subscribed. Every email includes a way to unsubscribe.
To assess job applications and contact candidates about roles.
To protect the website against spam, abuse and security threats.
To meet our legal, tax and accounting obligations.

We rely on your consent when you submit a form, on our legitimate interest in responding to business enquiries and keeping the site secure, and on legal obligation where the law requires us to keep records. We do not sell your personal information and we do not use it for automated decision-making.

We share personal information only with service providers who help us run our business, under contracts that require them to protect it:

Website hosting and infrastructure providers.
Email and CRM tools we use to manage enquiries and campaigns, such as Zoho CRM.
WhatsApp (Meta), when you choose to message us there.
Professional advisers such as lawyers and auditors, where needed.
Authorities, if the law or a valid legal request requires it.

International transfers

We are based in India and work with clients and providers in other countries, so your information may be processed outside the country where you live. When we transfer personal information out of the UK or the European Economic Area, we use appropriate safeguards such as the European Commission's Standard Contractual Clauses.

How long we keep it

Enquiries that do not become projects: up to 24 months after our last contact.
Client records: for the length of the engagement plus the period tax and company law require.
Job applications: up to 12 months, so we can consider you for future roles, unless you ask us to delete them sooner.
Newsletter emails: until you unsubscribe.
Server logs: up to 90 days.

Your rights

Depending on where you live (including under India's Digital Personal Data Protection Act 2023, the EU and UK GDPR, and US state privacy laws), you can ask us to:

Tell you what personal information we hold about you and give you a copy.
Correct information that is wrong or incomplete.
Delete your information.
Stop or limit how we use it, or withdraw consent you gave earlier.
Transfer it to another organisation in a common format.

Security

We protect personal information with encryption in transit, access controls limited to staff who need it, and vetted service providers. No system is completely secure, so if we become aware of a breach that affects you, we will tell you and the relevant authorities as the law requires.

Children

Our website and services are for businesses. We do not knowingly collect personal information from anyone under 18.
